Background
Deckers, a multinational corporation, joined forces with Mercans to enhance payroll and HR operations, elevating efficiency and precision across its global workforce.
The complexity arose from the integration of Deckers’ HR systems, Workday and UKG Pro. What sets this case apart is that Mercans initiated a groundbreaking custom integration, facilitating seamless data transfer from Workday to UKG Pro, a pioneering move in the industry. This custom integration effectively addressed Deckers’ initial concerns and marked a significant shift towards automation and scalability.
The comprehensive strategy encompassed three pivotal connections: integration with UKG Dimensions for time and attendance data, inbound integration with Workday, and integration with UKG Pro for the transmission of pay statements. A subsequent automated integration with AccessPay revolutionized the BACS payment process, not only enhancing efficiency but also ensuring compliance. The result was a dramatic reduction in manual processes, a notable improvement in data accuracy, and an industry-first approach that significantly enhanced the employee experience.

Seamless data flow
Deckers' initial aim was to integrate data from their HR system (Workday) to payroll system (UKG Pro). Their objective was to ensure smooth data flow while enhancing data accuracy and accessibility.
Consolidating payroll records onto a unified platform
Deckers had a precise objective, searching for a partner with the capability to centralize their payroll records on a unified platform.
Multi-country payroll setup
Deckers was aiming to extend the project beyond the UK to cover EMEA and APAC. This aligns with their overarching goal of establishing a streamlined multi-country payroll setup.
One source of HR record
They needed a solution to facilitate direct data flow from Workday to Mercans, aiming to reduce dependence on manual data entry and enhance overall data accuracy.
Labour intensive data extraction
Decker's faced significant operational challenges due to manual processes in their payroll operations. The manual tasks included labor-intensive data extraction from UKG Dimensions and subsequent manual data entry into the ADP system. This was a cumbersome and error-prone method that consumed valuable time and resources. The manual processes not only delayed payroll processing but also increased the risk of data inaccuracies, regulatory compliance issues, and employee dissatisfaction.
Automated tax filing
Meeting statutory requirements, such as tax filings with UK tax authorities (HMRC), required automated API-based statutory integrations.

Mercans’ Approach & Solutions
Bridging Data Integration Gaps
The crux of the challenge emerged when Deckers' data flow was disrupted. The initial expectation was to seamlessly transfer employee master data from UKG Dimensions to Mercans. However, it came to light that UKG Dimensions couldn't extract data from Workday, primarily because of the missing connectors. Mercans intervened by orchestrating a robust integration between Workday and our powerful, tech-forward HR Blizz™ system. This involved the extraction of data from Workday, payroll processing on Mercans' platform, and the subsequent transmission of pay statements back to UKG Pro.
Streamlining Data Integration
During this course, Mercans swiftly strategized and implemented three vital integrations for Deckers. Firstly, integration with UKG Dimensions allowed the retrieval of time and attendance data. The second involved inbound integration with Workday, ensuring a consistent flow of employee master data. Finally, the third integration was dedicated to synchronizing their internal systems with UKG Pro, focusing on pay statement delivery.
Real-time Time and Attendance Management
The crucial real-time extraction of time and attendance data from UKG Dimensions was facilitated through powerful Mercans’ direct API. This data was crucial for accurate payroll processing and seamlessly integrated into HR Blizz™. The end result was the automated transmission of pay statements to UKG Pro.
Empowering User Experience
Deckers' employees were granted access to their payroll information through a dedicated self-service portal. This not only enhanced user experience but also simplified access to documents like payslips, P60s, and P11Ds through a Single Sign-On process.
Single sign-on is an authentication scheme that allows a user to log in with a single ID to any of several related, yet independent, software systems. True single sign-on allows the user to log in once and access services without re-entering authentication factors.
Efficient Payment Processing Automation
Mercans also proactively orchestrated payment file payment integration with AccessPay, a BACS processing agent, streamlining employee tax and social security payments in the UK. Once the payroll is approved, a BACS file is generated and seamlessly forwarded to AccessPay, where it is processed without any manual intervention.
Bacs stands for Bankers' Automated Clearing System. It is responsible for the clearing and settlement of UK automated direct debit and direct credit, and the provision of third-party services.
Ensuring Statutory Compliance Effortlessly
Deckers' statutory requirements were also met through an API integration with HMRC. This entailed the automated filing of taxes with UK tax authorities, ensuring legal compliance.
Unified Data Sources for Seamless Operations
Mercans transformed Workday into the primary source of record for Deckers, negating the need for manual data entry into ADP.
Expanding Global Footprint Seamlessly
Building upon the success of their UK operations, Mercans was poised to implement similar solutions across the EMEA and APAC regions, encompassing multiple countries and legal entities, making this a truly global endeavor.
Technical Innovation for Streamlined Operations
Mercans pioneered an approach by directly pulling API data from UKG Dimensions into the payroll system, marking a significant milestone in data integration and automation. This demonstrates our technical prowess and innovative approach.
Seamless BACS Processing Integration
AccessPay, known for BACS processing, was seamlessly integrated into the workflow. An SFTP connection was established, enabling automatic transfer of BACS files for processing, further exemplifying the automation and streamlining achieved by Mercans.
Important Terms to Know
Your P60 shows the tax you’ve paid on your salary in the tax year (6 April to 5 April). You get a separate P60 for each of your jobs every tax year.
You’ll need your P60 to prove how much tax you’ve paid on your salary, for example:
- to claim back overpaid tax;
- to apply for tax credits;
- as proof of your income if you apply for a loan or a mortgage.
You’ll get a P45 from your employer when you stop working for them. Your P45 shows how much tax you’ve paid on your salary so far in the tax year (6 April to 5 April).
By law your employer must give you a P45 – ask them for one.
P11D is a document your employer uses to tell HMRC about the employment benefits you’re getting.
Your employer might give you a copy of your P11D if they used it to tell HM Revenue and Customs (HMRC) about your ‘benefits in kind’ (for example company cars or interest-free loans).
You might not get a P11D if your employer takes the tax you owe on your benefits out of your pay. Your employer will write to you to explain how this works.
