Team Leader – BAU

The Team Leader – BAU plays a crucial role in overseeing payroll operations, ensuring accurate, timely, and compliant payroll processing for clients. This position is responsible for managing payroll specialists, optimizing workflows, driving automation initiatives, and maintaining service excellence. The role requires strong leadership, technical proficiency, compliance expertise, and a commitment to continuous improvement. The Team Leader collaborates closely with the Manager – BAU, cross-functional teams, and stakeholders to enhance payroll service delivery and support digital transformation.

Key Responsibilities

  • Payroll Operations & Service Delivery
    • Supervise a team of payroll specialists to ensure seamless payroll processing across multiple regions.
    • Oversee end-to-end payroll activities, including data validation, processing, reconciliation, and reporting.
    • Ensure that payroll transactions comply with local and international tax laws, labor laws, and statutory requirements.
    • Maintain payroll accuracy by reviewing calculations, deductions, and adjustments before processing final payments.
    • Work closely with Finance and HR teams to coordinate payroll inputs, benefits, deductions, and compliance reporting.
    • Ensure payroll deadlines are met in accordance with agreed SLAs and client requirements.
    • Monitor payroll discrepancies and proactively resolve errors before payroll disbursement.
    • Conduct root cause analysis on payroll issues and implement corrective measures.
    • Prepare and review payroll reports, tax filings, and compliance documentation for audits.
    • Keep up to date with regulatory changes affecting payroll operations and ensure timely implementation.
  • Workforce Development & Culture Building
    • Lead, mentor, and support payroll specialists, providing guidance on best practices, compliance, and efficiency improvements.
    • Conduct regular performance evaluations, set goals, and provide constructive feedback.
    • Identify skill gaps within the team and implement training programs to enhance payroll knowledge and technical expertise.
    • Foster a collaborative and performance-driven culture within the team.
    • Develop succession planning initiatives to build future leaders within the payroll team.
    • Organize team-building activities to drive engagement, motivation, and productivity.
    • Ensure fair workload distribution among payroll specialists to optimize efficiency.
    • Encourage knowledge sharing and cross-training to build a resilient and multi-skilled payroll team.

  • Process Improvement & Automation
    • Identify inefficiencies in payroll operations and propose automation solutions to improve accuracy and reduce manual effort.
    • Collaborate with the Manager – BAU and IT teams to integrate AI-driven tools, RPA (Robotic Process Automation), and digital workflows.
    • Implement standardized payroll workflows across different regions to enhance consistency and compliance.
    • Monitor payroll performance using KPIs and analytics to identify areas for process optimization.
    • Develop and document payroll SOPs (Standard Operating Procedures) to ensure knowledge transfer and process continuity.
    • Support the rollout of new payroll technologies, systems, and tools to streamline payroll functions.
    • Leverage payroll data analytics to forecast workload, staffing needs, and payroll costs.
    • Ensure seamless integration between payroll systems, HRIS, and accounting platforms to enhance data accuracy and efficiency.
  • Data & Compliance Management
    • Ensure full compliance with local labor laws, tax regulations, wage laws, and company policies across all payroll processes.
    • Implement robust payroll governance frameworks to mitigate compliance risks.
    • Conduct regular payroll audits to identify discrepancies, errors, or potential compliance issues.
    • Work with the Compliance and Legal teams to address payroll-related legal matters and regulatory changes.
    • Safeguard payroll data confidentiality and ensure proper handling of sensitive employee information.
    • Maintain accurate and up-to-date payroll records, ensuring all documentation is audit-ready.
    • Assist in regulatory and internal audits by preparing necessary payroll documentation and reports.
    • Establish protocols to prevent fraudulent payroll activities and unauthorized access to payroll data.
  • Client & Stakeholder Coordination
    • Act as the primary point of contact for payroll-related queries from internal teams, clients, and third-party service providers.
    • Ensure a high level of client satisfaction by providing prompt and accurate responses to payroll inquiries.
    • Support the Manager – BAU in governance meetings, SLA reviews, and service performance evaluations.
    • Address client escalations and payroll-related issues in a timely and effective manner.
    • Assist in onboarding new clients by ensuring smooth transition and adherence to payroll processes.
    • Collaborate with Finance, HR, IT, and Compliance teams to enhance cross-functional payroll workflows.
    • Implement structured feedback loops to collect insights from clients and stakeholders for service improvements.
    • Drive initiatives to enhance payroll service delivery, ensuring consistency and reliability.
  • Performance Monitoring & Reporting
    • Track and report on key payroll KPIs, including payroll accuracy, processing time, compliance adherence, and SLA performance.
    • Provide monthly reports to the Manager – BAU with actionable insights on payroll trends and operational improvements.
    • Develop real-time dashboards to monitor team performance, payroll efficiency, and issue resolution times.
    • Conduct periodic payroll benchmarking studies to compare internal payroll performance against industry standards.
    • Implement continuous improvement initiatives to enhance payroll service quality and responsiveness.
    • Ensure all payroll activities are aligned with strategic business objectives and corporate priorities.

Skills and qualifications:

Required competencies:

  • Leadership: Strong ability to lead, mentor, and manage a team of payroll specialists.

  • Technical Proficiency: Proficiency in payroll software and systems, as well as Microsoft Office Suite (Excel, Word, etc.) and google docs.
  • Time Management: Ability to manage multiple tasks and meet tight deadlines.
  • Compliance Knowledge: In-depth understanding of federal, state, and local payroll laws and regulations.
  • Confidentiality: Commitment to maintaining the confidentiality and security of payroll data.

Experience and Education:

  • Bachelor’s degree in Business, Finance, Accounting, HR, or a related field (Master’s preferred).
  • Minimum 7 years of experience in global payroll outsourcing payroll operations, with at least 2 years in a leadership or supervisory role.
  • Proven experience in managing multi-regional payroll operations and compliance.
  • Strong background in payroll technology solutions, SaaS platforms, and automation-driven service delivery.
  • Experience with ERP, HCM, payroll software, and FinTech integrations.
  • Deep knowledge of payroll compliance, regulatory requirements, and risk management.
  • Prior leadership experience in managing high-performing teams and process optimization.
