Implementation Project Manager (LATAM)

The Implementation Project Manager is responsible for the planning, management and completion of a Payroll & HCM Implementation project within the designated timeline. They act as the main point for the internal and external stakeholders, including the clients, during the implementation of Mercans’ services. 

This role is responsible for collaboration with clients to define project goals, objectives, and scope of work and develop detailed project plans that include timelines, deliverables, and resource allocation for the operational aspects of the global payroll and SaaS implementations. The PM is responsible for Managing project expectations through regular meetings, project status reports and maintaining great relationships in accordance with Mercans’ Business policies. The PM communicates the Project Progress with all relevant stakeholders and ensures the risks on the project are mitigated on time.They collaborate with cross-functional teams to ensure that projects are completed successfully.

The PM is responsible for managing the stakeholder communications related to the Key Milestones during the implementation project, including Hypercare, in collaboration with the assigned Implementation Consultants.

Responsibilities & Duties

  • Scope: Define the project scope based on the Master Service agreement with the client. This helps prevent scope creep and ensures everyone understands the project boundaries. Establish and maintain processes for managing scope during the project lifecycle, setting quality and performance standards, and assessing risk. Analyze project status and, when necessary, revise the scope, schedule, or budget to ensure that project requirements can be met
  • Goals and objectives: Initiate and set goals for implementation projects according to the client’s objectives and expectations.
  • Pre Implementation Readiness Activities Ensure Scoping checklist is shared with the client and provide them access to edrive to share their artifacts. Ensure all Implementation Process documents are shared with the client 
  • Planning: Formulating a project plan on Monday Board to meet the project’s objectives while adhering to an approved budget and timeline. Coordinate with Integration and Product team and ensure to include Integration and Module deployment timelines wherever necessary. 
  • Resources: Detail necessary resources (people, budget, technology) and allocate them effectively. This includes identifying roles and responsibilities.
  • Milestones and timeline: Identify crucial milestones and create a timeline that outlines when each project phase should be completed.
  • Risk management: Anticipate potential risks and strategize to address them. Lead projects from requirements definition through deployment, identifying schedules, scopes, budget estimations, and implementation plans, including risk mitigation. Create a RAID log on the Monday board and ensure it is timely updated .
  • Communication plan: Establish and maintain relationships with relevant client stakeholders, providing day-to-day contact on project status and changes. Schedule project Meetings and health Check calls with client ane ensure snap shot reports are shared with relevant stakeholders. Schedule monthly steerco meetings and present the Progress of the Project to executive management.
  • Requirements Gathering: Conduct the operational business requirements gathering, analysis, and documentation using the standard implementation toolkit artifacts i.e. Business Blueprint, Data Dictionary, Wage Type Catalogue, etc. Identify and document any process or scope gaps and bring the scope gaps to the client’s attention.
  • System Configuration: Align with the configuration factory on timely and efficient delivery of configuration and Unit Testing. Ensure the Unit testing is evaluated by the IC and get the gaps closed if any.
  • Integrations: Coordinate the requirements gathering i.e. Data Dictionary, Wage Types Catalogue, etc. with the integration workstream, if applicable. Coordinate the operational testing of the integrations and ensure the System Integration testing results and Scenario Based testing results are signed off by the client
  • Master Data Migration: Coordinate master data migration planning and prepare the master data migration templates, if applicable. Ensure proper Guidance to the clients with the master data migration steps, including cleansing, loading, and validating the master data. Coordinate Master Data extracts sign off with the client. 
  • Testing: Coordinate end-to-end operational testing i.e. UAT, SBT, parallel runs, etc. following Mercans’ standard testing methodology and protocols.Ensure client is briefed on Entry and Exit criteria and all the test results are signed off .
  • Documentation: Ensure that the implementation processes are fully documented by the IC and evidenced in accordance with Mercans’ standard requirements. Provide the evidence to the QCRM/Internal Audit teams. Ensure effective use of Monday Board and online Google sheets for Implementation Documents
  • Training: Coordinate the operational training to the clients and ensure that all training materials and SOPs are available to the clients.
  • Go-Live Readiness: Complete the Go Live Checklist and Get the sign off from Audit team and the client on the Go Live Checklist .Share the Go No Go PPT with the client
  • Hypercare:Ensure that the Hypercare exit criteria are met. Complete the handover of the clients to the BAU teams in accordance with the standard processes. Obtain the signoff from the BAU teams of the successful handover of the clients. 
  • Change Management Process: Follow the standard Change Management Process as per Mercans Policies and procedures

Skills and qualifications:

  • Must have at least 3+ years of experience with end-to-end global payroll implementations.
  • Must have at least 5+ years of experience with project management.
  • Bachelor’s degree in accounting/finance/business administration/computer science or other related discipline.
  • Must have PMP or Prince 2 certifications.
  • Experience within Payroll Outsourcing or BPO industry.
  • Must be able to work in a client-facing environment.
  • Proactive, communicative, organized and well-spoken.

SMART Performance Goals

  • Complete utilization of a project implementation toolkit and ensure the go-live checklist is aligned with the client MSA/SOW. Follow the standard implementation process from the implementation artifacts library.
  • Make sure that the Project health report is 100% green.
  • Ensure that 100% of all implementation projects are completed by their initial target go-live dates
  • Achieve a 90% CSAT score i.e. 90% of the clients give an overall implementation process experience rating of “Good” or “Very Good”. Ensure 100% project plan adherence from both client and Mercans are achieved
  • Ensure 100% of factory utilization on project deliverables is achieved.
  • Make sure that there are zero client escalations related to the implementations until hyper care exit.
