Implementation – PMO Lead
The Implementation – PMO Lead plays a strategic and governance-focused role within the global payroll implementation function. This role is responsible for designing, enforcing, and continuously improving the implementation methodology, process toolkits, training framework, and project governance model. The PMO Lead ensures consistent, scalable, and high-quality client onboarding through centralized reporting, risk oversight, process improvement, and cross-functional alignment with Product, Compliance, Configuration, and Customer Success functions. The role does not manage project delivery resources directly but enables delivery excellence through standards, tools, training, and structured oversight.
Key Responsibilities:
Strategic Governance & Oversight
- Define and enforce global implementation methodology, tollgates, and quality standards.
- Oversee go-live readiness assessments, post-implementation audits, and lessons learned processes.
- Drive portfolio-wide project governance, escalating capacity, risk, and milestone deviations.
- Represent the PMO in executive and steering committee forums, reporting on delivery health and strategic alignment.
Implementation Methodology & Toolkit Management
- Own the continuous development and version control of implementation playbooks, SOPs, checklists, and templates.
- Ensure all delivery materials refl ect current product capabilities, compliance mandates, and best practices.
- Maintain a centralized knowledge base and promote adoption across implementation teams.
Project Portfolio Monitoring & Reporting
- Ensure real-time portfolio dashboards are maintained, covering project health, milestone achievement, RAID logs, and SLA compliance.
- Review and approve reporting outputs prepared by PMO analysts or performance managers.
- Deliver executive summaries and data-driven insights to the Chief Operating Officer and other leaders to support proactive decision-making.
Process Improvement & Automation Enablement
- Lead root cause analyses (RCAs) on delivery issues and translate fi ndings into actionable process improvements.
- Maintain and prioritize a centralized Process Improvement Backlog aligned with strategic goals.
- Identify manual, repetitive onboarding tasks suitable for automation and defi ne business requirements for automation initiatives.
- Collaborate with Product, Engineering, and Automation teams on solution design and adoption tracking.
Cross-Functional Collaboration
- Ensure onboarding processes and toolkits are fully aligned with Product updates, compliance requirements, and configuration capabilities.
- Serve as the bridge between implementation delivery and strategic business development, product design, and statutory compliance.
- Participate in product roadmap and compliance update cycles to advocate for implementation needs and constraints.
Customer Success Alignment
- Align onboarding processes with client satisfaction and retention goals.
- Ensure structured go-live handovers and early stabilization monitoring processes are in place.
- Track post-go-live feedback and integrate learnings into delivery frameworks and templates.
Training, Onboarding & Continuous Improvement
- Lead the onboarding of new implementation team members on tools, methodology, and delivery templates.
- Conduct quarterly refresher trainings and internal enablement workshops to ensure consistent adoption of PMO standards.
- Maintain and continuously improve the implementation knowledge portal for ease of access to templates, SOPs, and guidelines. 2
- Facilitate structured post-mortems for escalated or critical projects and maintain a centralized lessons learned repository.
- Integrate improvement insights from post-mortems, feedback loops, and delivery reviews into processes, toolkits, and cross-functional workflows.
Team & Operations Management
- Manage the activities and priorities of the PMO function, including Performance Managers, Methodology Managers, and Analysts.
- Conduct weekly PMO team meetings, assign responsibilities, and review progress on reporting, improvement, and toolkit initiatives.
- Mentor team members and contribute to the continuous development of PMO capabilities.
Qualifications & Experience:
- Bachelor’s degree in Business, Project Management, Engineering, or a related field. Master’s degree or PMP/PMI certification preferred.
- 10+ years of experience in the global payroll outsourcing industry, with a focus on multi-country implementation, compliance, and project governance.
- 8+ years of project or program management experience within the global payroll outsourcing industry, including direct involvement in client onboarding and enterprise delivery models.
- Proven experience in establishing or managing PMO functions specifically within global payroll outsourcing, including responsibility for playbooks, toolkits, dashboarding, and risk oversight.
- Strong knowledge of payroll statutory compliance requirements, implementation best practices, and SaaS delivery methodologies within the payroll outsourcing domain.
- Proficiency in implementation monitoring tools such as Monday.com, Jira, Freshworks, or similar, with experience designing dashboards for executive visibility.
- Advanced stakeholder engagement and cross-functional coordination skills tailored to payroll and HR technology delivery environments.
