Implementation Consultant
The Implementation Consultant (IC) acts as the operational focal point for the internal and external stakeholders, including the clients, during the implementations of Mercans’ services.
This role is responsible for the operational aspects of the global payroll and SaaS implementations. The IC is responsible for collecting, analyzing and documenting the clients’ business requirements in accordance with Mercans’ processes and requirements. The IC communicates the business requirements to the internal stakeholders and ensures, following Mercans standard testing processes and protocols, that the system configurations implemented by Mercans meet the clients’ and statutory requirements.
This role is responsible for delivering the required operational training to the clients and ensuring that the operational Hypercare exit criteria are met for the transition of the services to the Business As Usual (BAU) phase.
The IC is responsible for managing the stakeholder communications related to the operational activities during the implementations, including Hypercare, in collaboration with the assigned Implementation Project and Program Managers (PM).
Duties and responsibilities
- Planning & Kick-off: Understand the contractual scope for the clients being implemented. Support the PM in developing a Project Plan and implementation deliverables that align with the scope. Set up the required resources accesses for the client i.e. HR Blizz (HRB), Google Drive, including creating the HRB instances.
- Readiness Activities: In coordination with the respective stakeholders, ensure that the required implementation toolkit items are available to the clients.
- Requirements Gathering: Conduct and lead the operational business requirements gathering, analysis and documentation using the standard implementation toolkit artifacts i.e. Business Blueprint, Data Dictionary, Wage Type Catalogue, etc. Identify and document any process or scope gaps. When applicable, bring the scope gaps to the PM’s and client’s attention.
- System Configuration: Ensure that the business requirements documentation is delivered to the Configuration Factory (CF) fully and on-time. If required, schedule requirements clarifications sessions with the CF and clients. Set up the parallel and production environments.
- Integrations: Coordinate the requirements gathering i.e. Data Dictionary, Wage Types Catalogue, etc. with the integration workstream, if applicable. Conduct the operational testing of the integrations.
- Master Data Migration: Conduct master data migration planning and prepare the master data migration templates, if applicable. Guide the clients with the master data migration steps, including cleansing, loading and validating the master data. Provide the clients master data extracts from HRB for the clients validations. Investigate and resolve any discrepancies. Load the YTD data in accordance with the statutory and client-specific requirements.
- Testing: Conduct, document and evidence the end-to-end operational testing i.e. UAT, SBT, parallel runs, etc. following Mercans’ standard testing methodology and protocols. If agreed, conduct client specific testing.
- Documentation: Ensure that the implementation processes are fully documented and evidenced in accordance with Mercans’ standard requirements. Provide the evidence to the QCRM/Internal Audit teams.
- Training: Deliver the operational training to the clients and ensure that all training materials and SOPs are available to the clients.
- Go-Live Readiness: Complete the cutover activities from the Acceptance to the Production environments. Conduct the testing of the Production environment. Load the YTD and other relevant balances to the Production environment.
- Hypercare: Execute or support the clients with the execution of the production payroll runs. Ensure that the Hypercare exit criteria are met. Complete the handover of the clients to the BAU teams in accordance with the standard processes. Obtain the signoff from the BAU teams of the successful handover of the clients.
Skills and qualifications
- Undergraduate degree in Accounting, Finance, Business or IT.
- Minimum of 7 years of payroll industry experience.
- Minimum 5 years of experience in global payroll implementations.
- Able to document complex payroll concepts in English.
- Able to fluently communicate complex payroll concepts to the clients precisely.
SMART Performance Goals
- Complete at least 8 implementation projects or take at least 1,000-employee payroll(s) live in the 12 months.
- Ensure that at least 90% of the implementation projects are completed by their initial target go-live dates.
- Make sure that there are no major client escalations related to the implementations.
- Ensure that at least 90% of the projects implemented exit their hypercare phases in 3 months or less
- Propose at least 3 process improvement or system automation ideas to the line manager every year.
